CANCELLATION POLICY

 If you do not show up for your scheduled appointment or notified us at least 24 hours in advance, you will be required to pay the cost of the treatment as booked. We do this to ensure that we can help as many people as possible.

You can check your coverage by asking your insurance provider these questions:

  • Do I have mental health benefits?
  • What is my deductible and has it been met?
  • How much does my plan cover for an out-of-network provider for outpatient mental health (Outpatient means treatment outside of a hospital)?


  • Do I need a referral from an in-network provider to see someone out of network?


  • How do I submit claim forms for reimbursement if out of network? (Claims are forms that are sent to your insurance company to receive reimbursement for sessions you paid for out of pocket. See below.)
  • What is the coverage amount per therapy session?
  • Is approval required from my primary care physician?

  •  If we do not accept your insurance, there are many options to utilize your insurance with us. 

 

  •  If you have an insurance that we do not accept, we can give you a "superbill" to send to your insurance company in order to utilize your out-of-network benefits and get reimbursed for some or all of your payment.   


  • We can discuss these options with you if you have any questions. Each insurance plan is different so, try to answer the questions below with your insurance company or contact us and we can help if you have any difficulty with this process.  


 

There are types of counseling services that are sometimes not covered with your insurance:


Couples counseling is not always covered by insurance, but some plans do cover this. We can check your benefits to make sure if it is covered under your plan. You can also call your insurance company using the customer service number on the back of your insurance card to check your mental health benefits to see what is and is not covered prior to reaching out.

Out of network sessions require full payment at outset of therapy. Fortunately, depending on your plan, your insurance company may help reimburse a portion of the cost by mailing you a check. For example, most PPO and POS health plans offer at least partial reimbursement for out-of-network services.  


Locate your out of network benefits: 

  • These are located in your Summary of Benefits, included in a member information packet or on your insurance company website. 


  • Look for this key term: Out of network deductible. This is the amount of money you have to pay before you are eligible for reimbursement.


  • We will give you a superbill of your invoices each month to send to your insurance provider for reimbursement. 

 


-There is an easier and expedited way to send your invoice to your insurance company called Reimbursify , a website and app. It uses an image/screenshot of the invoice we provide to you, files the claim and follows up with it for you. 


-They can help you navigate the reimbursement process in a few clicks. Reimbursify will be paid once you are reimbursed. 


-If you have a Health Savings Account (HSA), it makes your out of network even easierby using your pre-tax dollars to pay your deductible.

Rates are $150 per session.


Options for private paying clients: 


  • Claim mental health as a medical expense tax deduction
  • Claim our services as an out of network provider if we do not accept your insurance at this time. 


The benefits of paying privately include: 


  • No term-limits in counseling


  • Insurance cannot audit your therapy notes


  • You will not be given an official diagnosis per insurance requirements that are kept on file

Cash, check, Visa, Mastercard, Discover and HSA/Health savings account cards are accepted forms of payment. 


Payment is due at the time of service. If you are paying by check, please make payments to Acadian Counseling Center, LLC.
